An investment project such as the Prime Tower can only be realized with precise technical planning. This requires a careful, precise conceptual high performance on the part of the architecture and planning already before the start of construction. The conventional planning process, which grows with the building, is made even more difficult by the enormous flood of plans. By the time the foundation was laid on 19th November 2008, more than 2,000 plans and documents had been drawn up and had to be administered. A central document and communication platform such as Olmero's project platform is recommended for the execution of such a large-scale project. Although this requires careful introduction, this tool supports the TC in networked and economic planning. Because it promotes work organization and intelligent work technology.
Peter Gola, Deputy Planning Manager of ARGE Prime Tower, explains in an interview with Ralph Hesterberg and Yvonne Stemmle from Olmero how a project can be realized with the help of the project platform.
Mr. Gola, what is the biggest challenge for you in the planning management of such a project?
Peter Gola: A central challenge is certainly to be able to ensure economic planning. This applies in particular to the management of project documents. Imagine that: By the time the base slab of the Prime Tower was started, there were already over 10,000 messages, 1,200 plans and over 1,500 documents to manage. The management of this data in the conventional way, using e-mail dispatch and classic filing on the company's internal server structure, is not efficient in a project like Prime Tower. Only thanks to the use of a powerful platform, such as the Olmero project platform, is it possible to keep track of the flood of information. A further challenge is to be seen in the fact that all project participants are always up to date and can quickly access the desired documents at any time and from any location. This is the only way to ensure that planning is based on current documents. However, project participants should not be flooded with unnecessary information. The distribution of information must be clearly structured and dosed. Thanks to the OLMeRO project platform, I can always be sure that all the latest information is available. In addition, I can trace who received which plan documents, for example, when. This is to prevent omissions. All editing processes for a document are transparently recorded by the project platform. In the case of an obligation to provide evidence, the relevant data is available very quickly.
What is essential for a project to be optimally supported by the project platform?
A clean preparation! In my opinion, it is essential that at the very beginning of a project - ideally together with the building owner - it is determined which documents must ultimately be available, in which form and in which structure. In addition, you must define the rules as early as possible, for example, whether plans are to be designated according to a particular plan numbering scheme or whether the designation is left open for the planners. The same applies to processes such as plan release, which can also be processed via the project platform. If you think the structure through cleanly from the start, you will gain valuable time in the later course of the project.
How does Olmero support you in your work?
An example is the uniform naming of planning documents. We wanted to introduce a uniform plan numbering scheme. When we entered the project, however, there was already a certain planning status with different plan designations. So we found a clever solution with Olmero. Using the keywords (metadata) with which we provide all project documents, the Olmero project platform automatically creates the correct plan number for each plan and I can see, for example, at a glance whether all documents are available. Especially in this case, the experience of Olmero employees from other major projects was very helpful for us. They are information management specialists and I can rely on Olmero for the entire duration of the project.
How is the project platform when working with it?
The Project platformis a tailor-made project management tool and therefore not self-explanatory. In some areas - e.g. document search - the project platform offers various possibilities, which can initially "overstrain" the inexperienced user. But for that there is the training of the core team at the beginning of the project, the documentation, the support of our coach, etc. My experience has shown that after an initial training phase, routine and confidence in the use of the tool are established. We have already had very good experiences with this tool in several projects at Karl Steiner AG.
Where do you see the advantages of the application?
As I said at the beginning: the overview! I have access to all documents around the clock and no matter where I am. In addition, daily routine tasks, such as ordering plans, can be made more efficient. The repro service is used daily by the working team and the planning documents are delivered directly to the construction site by courier. This in turn saves us valuable time and money and is well documented for our project partners. In short: Thanks to the platform I have a better overview at lower costs. If used consistently, we can also ensure that a digital construction file is available at the end, including all documents and the associated project communication.
How did you experience the integration and how did you ensure the acceptance of the participants?
Basically, it is the case that nobody likes to get used to new things, and so one tries to get everyone on board as early as possible and to turn those affected into participants. At the beginning, the project team sat at the table together and defined the processes and structures. Some employees of Karl Steiner AG already knew the tool from other projects. The employees of Losinger Construction AG were made familiar with the platform by means of a training course. However, readiness for use can only be achieved with training and coaching. Also important in the initial phase were Olmero's consulting services and the fact that the decision for the project platform was taken by the project management.
What can Olmero do better? Where do you still see potential?
The requirements vary from project to project. There are people working with the tool and they in turn have different requirements or needs. In my opinion, the project platform still has potential to be simplified in operation. I'm looking forward to the new version, which promises a lot, particularly in this respect.
At the moment we mainly use the project platform to control and document the planning and construction of a building. But there is still a huge potential in the software if you take a closer look at the application area even after project completion, namely for the warranty and management phase. In my opinion, life cycle-oriented information management is a major future topic in the construction industry. We at Karl Steiner AG have taken a first step towards life cycle information management with the project platform. Together with Olmero, we want to further develop the platform from a project platform to an object platform in order to be optimally positioned in future for the operating phase of buildings with regard to the information required for this, even after completion of the project.
